If team visibility into each other’s meeting notes matters to you at all, Otter is the expensive option here, not the cheap one its Pro price suggests.

The free plan gives unlimited transcription for a whole team sharing a 400-minute storage pool — usable as a real trial, not a demo. The catch worth knowing before you commit: AI credits are a shared workspace pool, not a per-seat monthly allowance. Free and Pro both ship with a modest one-time/refreshing credit pool (20 credits) that covers AI summaries, action-item detection, and the AskFred assistant — and it does not multiply when you add teammates. A 3-person team generating a summary per meeting will burn through it faster than a solo user would, and add-on credit bundles run roughly $0.06–$0.10 per credit. Business raises the pool to 30 and adds team analytics, but even there it’s a shared pool, not 30-per-seat.

The free plan is genuinely usable for a bootstrapped trio, but check the real limit before assuming it’s unlimited: advanced AI summaries (the structured, action-item version, not the basic chronological one) are capped at 5 calls per month per user, renewing monthly. Fine for a team that meets occasionally; not enough if you’re in back-to-back calls daily. Fathom also has no known affiliate program as of this writing — we still recommend it because the Team-tier seat minimum genuinely fits a 3-person company better than the alternatives. Otter is also currently a named defendant in a consolidated federal class action (In re Otter.AI Privacy Litigation, N.D. Cal.) alleging its meeting bot records participants without required consent — worth knowing if your calls include people outside the company, since a motion to dismiss was still pending as of mid-2026.
